Data collection

Depending on the certification body’s working method and equipment Check Organic offers three options to organise the data transfer:

  • Option 1: Data entering in a web form

You can enter your operator data directly, manually into the database using a web portal accessible through the Check Organic website and your login. This service addresses the needs of small certification bodies with a low number of operators and/or no or a weak database. The web form on the web portal for certification bodies will allow easy, secure and complete data entry. Data can be exported at any time by you to be used for other purposes.

  • Option 2: Data transmission in xls format

If you have a database that cannot communicate via web service with Check Organic, you can export your data into a pre-defined Excel file and then upload it into the Check Organic database. In the web portal for CBs this pre-defined Excel template will be available for download. During the upload process the data is validated to guarantee that it is correct and the file contains all necessary information. This way of transmitting the data is suitable for certification bodies that cannot or do not want to implement a web service nor want to manually enter the data in the web form.

  • Option 3: Data exchange using a web service HTML framework

This option is for certification bodies that maintain a professional IT system that is compatible with this technology (e.g. Ecert). The Check Organic web service has to be installed on your database. During set up the Check Organic product codes have to be matched with your internal product codes to allow searches to function properly and for displaying the certified products. The two systems can exchange data on a regular basis without manual intervention. The advantage of method of data delivery is that after the initial set up of the web-service data will always be up-to-date and available at Check Organic in real time with no ongoing effort by yourself.

It is of utmost importance that the certification body guarantees the accuracy of data in case any of this data is changed. It is the duty of the certification body to keep the data up-to-date. In case a certificate has been withdrawn this information must be updated without delay. This is especially important where the web form or the Excel upload is used.
